GUIDELINES for EUROMAT Symposium Organizers (SO)

1. Structure

1.1 Areas

EUROMAT 2023 is divided into the following 8 areas:

  • A: Functional Materials
  • B: Structural Materials
  • C: Processing
  • D: Characterization and Modeling
  • E: Energy and Transportation
  • F: Materials for Healthcare
  • G: Education, Strategy and Technology Transfer
  • H: Materials for Circularity and Sustainability

1.2. Symposia

The areas are divided into symposia, announced in the Call for Abstracts (CfA). If the criteria for the continuation of symposia are not fulfilled by the Call for Abstracts deadline, they will be merged with other symposia or canceled. The Area Coordinators will be responsible for these changes in coordination with the chair/co-chair. A considered symposium must have at least 40 oral presentations (without contributions that have been classified as posters) to meet the feasibility criteria.

1.3 Sessions

A session contains the contributions from the break to the next break. There is no area or symposium change within a session.

1.4 Session Chairs

Each session is led by a session chair. The symposium organizers need to identify, organize and coordinate the session chairs for the sessions of their symposium until 01 June 2023. Session chairs are not exempt from the congress fee and must attend on-site. Symposium organizers may chair sessions as well.

2. Presentations

2.1 Plenary (40 minutes, no Q&A)
Plenary speakers are selected by the Scientific Committee (SC) and have a total length of 40 minutes, including the speakers' introduction. A question and answer discussion is held at the end of the plenary talk.

2.2 Keynote = 35 minutes +  5 minutes
Excellent scientists or industry representatives will lecture on the symposium's topic. Each symposium can define 1 Keynote speech. The symposium organizer will select them. Keynote speakers must pay the congress fee and are not reimbursed for travel expenses.

2.3 Highlight = 15 minutes + 5 minutes for Q&A
The symposium organizer can mark lectures that are above average as Highlight Lectures. Max one Highlight Lecture per session is possible. Highlight Speakers have to pay the congress fee and are not reimbursed for travel expenses.

2.4 Lecture = 15 minutes + 5 minutes for Q&A
Contributed lectures will be selected by the symposium organizer.

2.5 Poster
Posters are displayed during the congress in the foyer of the lecture halls. The presenting authors of the posters will be available for discussion during the poster show.
Each area will award a poster prize.

3. Congress fees and free tickets

The congress is supported by the congress fees. The highly appreciated scientific involvement is entirely voluntary and without compensation. Reimbursement of expenses cannot be made. Congress fees are waived only for plenary speakers and area coordinators.

Symposium organizers, session chairs, keynote speakers, and highlight speakers must pay the regular congress fee. As a representative of EUROMAT, we anticipate the participation of all symposium organizers.

The FEMS has established a Fee Waivers Policy for EUROMAT meetings. As stated in the policy, the symposium will receive complimentary tickets for your symposium, depending on the number of abstracts submitted. The team of symposium organizers can use the free ticket for one of them or invited speakers.

  • If a Symposium attracts 50-60 abstracts, one (1) free registration will be provided.
  • If a Symposium attracts 60-80 abstracts, two (2) free registrations will be provided.
  • If a Symposium attracts >80 abstracts, three (3) free registrations will be provided.

Please understand that we cannot make any further exceptions to the waiver policy set by FEMS.

4. Symposiums Sponsoring

A Symposium sponsorship of 1.500 € will cover 1 free registration (full week) for an invited speaker, or 2 free registrations (half week). Please note that it is up to the Symposia Organizers to decide on the receiver(s) of this grant.

  • One Roll-Up banner at the symposium room (the sponsor is responsible for production and costs)
  • Company logo on the program overview on the door of the symposium room
  • Display of the sponsor's logo on the EUROMAT website as an sponsor
  • Display of the sponsor's logo in the program overview
  • Display of the sponsor's logo as a sponsor in the break videos

5. Document upload

In addition to the abstract (poster & lecture contribution) and poster (poster contribution), authors can upload additional documents voluntarily, e.g., manuscript, oral poster video presentation. The documents will be available on the virtual congress platform of EUROMAT 2023.

The congress will take place at the Westend Campus of Goethe University:

In addition, there will be an opportunity for authors and participants, who cannot join EUROMAT 2023, to attend online. Participants can choose their form of participation when booking a ticket.
